Colgate Bright Smiles, Bright Futures® is among the most far-reaching, successful children's oral health initiatives in the world. With long-standing partnerships with governments, schools and communities, Colgate Bright Smiles, Bright Futures® has reached more than half a billion children and their families across 80 countries with free dental screenings and oral health education.

Challenge

VA was entrusted with the task of building a web based system that would assist the client in managing and scheduling thousands of events throughout the course of the year. Additional requirements included the ability to manage all their documents across all file formats, scheduling and managing meetings, tracking vacations of employees, registering product donations and a “Van Fleet Management System” that would give the drivers of all of their vans the ability to report/track/update/follow-up all issues concerning their van fleet. It also had to include a mechanism that would churn out reports based on data collected during the course of several hundred events throughout the year.

Solution

VA built a secure web based system based on role hierarchy and a simple to use, elegant, responsive user interface that would assist the client in the management and scheduling of all their events, meetings and employee vacations. VA built a “Document Vault” for the client to upload and manage all their documents (across all file formats) in one place and organize the same by categories as well as define the roles that would govern the access to these documents. Also included was a calendar view that provided a “Quick Look” on the upcoming events, meetings and vacations. The calendar followed the principles of responsive design. An extensive “Fleet Management System” system with its own reporting area was also built to report/track/update/follow-up on all issues in their van fleet. Customized reports were programmed to help the client keep track on the progress and outcomes of all their activities conducted throughout the year.
